Retrieve a patron record

There are several ways to retrieve a patron/user record.

When you know their barcode


  • Scan or manually type in the patron/user barcode in the green box. Click on Submit if you type in the barcode.


  • The patron/user record will display.


When you don't know the barcode and need to search for the patron (F4)

There are several ways to access the Search for Patrons function. They include:


  • Press the F4 key on the keyboard
  • Click on the Patron Search button
  • Click on the Search menu and select Search for Patrons


The Search for Patron form will display.


You can search both active and inactive patrons/users by checking the box next to Include inactive patrons? Leaving the box unchecked will search only for active patrons/users.


The drop-down menu prompts for the location that you want to search. Everywhere would search the entire Michigan Evergreen database, including all of the different libraries and various branches. Local Library System would search your local library system (all branches) of your library system (of where the workstation is registered). This Branch would only search your branch of the library system (of where the workstation is registered). Other options include Specialized Library, Your Bookmobile. Most of the time you are going to want to search Local Library System.


From this point, you can enter any single field or combination for:

  • Last name
  • First name
  • Middle name
  • Alias
  • Email
  • Phone
  • ID
  • OPAC Login
  • Barcode
  • Address 1
  • Address 2
  • City
  • Zip


At the bottom, there is a drop-down menu that will allow you to Filter by Permission Profile. This would allow you to search only within certain permission group parameters.


To search for a patron/user, enter in the information in the fields provided. Click on the Search button. The Clear Form button would erase any data you entered in.


A list of patrons/users will display on the right of the screen.


To display more information about the patrons/user, click on the column picker on the far right of the column headings. You can add any of those headings so that that information is displayed on the patron/users results. This could be helpful in narrowing down the results.


If you select a patron/user - by clicking on the line with their name - a brief patron/user record will display on the left. If you click on the Search Form button at the top, the left hand display will return the the Search for Patron form with the information you entered still present.


To select a person, click on the line with their name and then click on the Retrieve Patron button.


A new tab will open displaying the full patron/user record.


Setting default to local library system

In most cases, it is advisable for the default search to be set to Local Library System. This reduces the number of names that result from the search, thus saving time and energy.


On the Search for Patron screen next to Limit results to patrons in, there is a drop-down menu. The choices include:

  • Everywhere
  • Local Library System
  • This Branch
  • This Specialized Library
  • Your Bookmobile


Select Local Library System. That location sticks - so when you log in the next time at that workstation, Local Libary System will already be chosen on the Search for Patron screen.
