Importing records via batch
Records can be imported into Michigan Evergreen via batch file from many sources, including files from SkyRiver, vendors or OCLC.
The most important step is to make sure the file is resident on the computer you are using to import the records.
A view of the Import Records screen
Under the Cataloging menu, select MARC Batch Import/Export or click on the MARC Batch Import/Export button on the splash screen.
The loading window will appear and default to the Import Records view.
How to import records via batch
Under the Cataloging menu, select MARC Batch Import/Export or click on the MARC Batch Import/Export button on the splash screen.
The loading window will appear and default to the Import Records view. Select the Record Type to import, choose Bibliographic Records or Authority Records. Choose the type of records you are importing.
Next, a new upload queue has to be created or the records can be added to an already existing queue. A new queue is created by typing the name of the queue into the empty field. To add records to an already existing queue, select the queue from the drop-down menu.
From here, the option to Auto-Import Non-Colliding Records can be checked, which would automatically import records that do not match records existing in the system.
There is also the option to Import Attached Holdings in Evergreen 852 or Unicorn 999 formats. In the Select a Record Source drop-down, select the source of the records, in this case, the records are in a file on the computer, so System Local is selected.
To choose the file to upload, click on the Browse button. A new window will open. Find the file that is to be uploaded and click on Open.
Click on the Upload button. The screen will refresh to show the Record Queue with a list of records, both those in the upload file and those from the already created queue will appear.
Click on the Actions drop-down menu. The options are Import Selected, Import All and Delete Queue. Records can be selected by clicking on the box next to the record to be imported one at a time by selecting Import Selected or all at once by selecting Import All. Delete Queue will delete the queue.
Notice the options across the top of the records. Limit to Collision Matches, when checked, will narrow the list to only records that match ones already in the system. Limit to Non-Imported Records will limit to the records that have not been imported.
There is also the option to choose how many results per page will appear, as well as the listing of the page number, and Previous Page and Next Page links to click on to scan through pages of records.
Click on the View MARC link on the right side of the record listing.
The screen will refresh with the MARC record.
To edit the record, click on the Edit button at the top. A new window will open with an editable MARC record. From here, changes can be made before the record is imported into the system.
Close out of the MARC Edit window.
To return to the Record Queue, click on the Return button at the top.
The screen will refresh to show the Record Queue screen. In this example, there are records in the queue that already match records in the system. Click on the Matches link to the right of the record information.
The screen will refresh to show both the record in the queue and the record already in the system. Clicking on the View MARC link will let you view the MARC of each record.
To go back to the queue, click on the Back To Import Queue button.
The screen will refresh to the Record Queue.
In this example, two records will be imported into the system. Check the boxes next to the records to be imported and from the Actions drop-down, select Import Selected
The records will import and the screen will refresh to show the remaining records.-->
